When preparing your report, please keep the following in mind:
1. Timely Submission
- Reports must be written and submitted by the end of the month, or no later than the day before the meeting at which they are due.
- Please email your report to the Recording Secretary at secretary@cupe608.com, or to their assigned designate.
2. Detailed and Clear Content
- Provide a comprehensive overview of the month’s activities, events, and any notable issues or developments.
- Include specific dates where relevant.
- Ask yourself: If someone reviewed this report months or years from now, would it clearly reflect what happened during this period?
3. Privacy and Confidentiality
- Do not include names or personal details of members.
- For grievances or similar matters, include relevant details but omit the names of the individuals involved.
- In Committee reports, member names may be included only when appropriate. If unsure, please consult a member of the Executive.
4. Exempt Staff Names
- If referencing managers or other exempt (non-union) employees, include their names. This helps track patterns in employer behavior when necessary.
5. Catching Up
- If you haven’t submitted reports in recent months, please include any relevant or important information from those months in your current report.
6. Using the Template
- The Executive and Officer report template outlines the required sections.
- If a section does not apply, write “N/A” or “Nothing to report” to indicate it was intentionally left blank.
- If you believe a new section should be added to the template, please notify the Executive.
7. Final Format
- Final versions of reports should be saved and submitted as PDF files.
